Our Commitment
Chronicle Makers is owned and operated by PA Ancestors LLC, based in Pennsylvania. We are committed to protecting your privacy and being transparent about how we collect and use information.
Simple version: we collect only what we need to run our community and tools. We don't sell your data. We don't keep the documents you send to our research tools. We work with trusted providers to deliver everything, and they're all listed on one page you can always check: chroniclemakers.com/subprocessors.
Information We Collect
Information You Provide
When you sign up or interact with us: email address (newsletters, course and tool access) · name · payment information (processed securely through Stripe via Skool — we never see full card numbers) · profile information and membership question answers · content you create or post in the community · video, audio, and chat from Zoom meetings, webinars, and cohort calls.
When you use the Chronicle Makers Tools: the documents and research information you submit for analysis — processed and deleted, never kept (see "The Chronicle Makers Tools and Your Documents" below).
When you communicate with us: messages, support requests, survey responses, feedback, and testimonials.
Information Collected Automatically
Website usage: pages visited, time spent, device and browser, general location (city/state), how you found us.
Platform activity: community posts, comments, and course progress (Skool) · email delivery, opens, and clicks (Kit, Substack) · meeting attendance and recordings where sessions are recorded (Zoom) · tool usage records — which tool ran, when, and how much processing it used (not the content you submitted).
How We Use Your Information
To provide the Service: deliver course content, community, and tool access · send access links and tool results · process payments · provide support through community surfaces · improve content and tools.
To communicate with you: service emails (receipts, access links, account updates, course announcements — you'll always get these) · marketing emails (newsletter, tips, announcements — unsubscribe anytime with the link in any email).
To make things better: understand how members use the Service · identify helpful content · track completion · gather survey feedback.
The Chronicle Makers Tools and Your Documents
The Chronicle Makers Tools analyze genealogical documents and research information you choose to submit. The material you submit is a copy of your materials, which is:
- Processed, returned, deleted. Your submissions are used to generate your output, the output is returned to you, and both are deleted. We do not keep them, we do not build an archive of them, and we could not return them to you later, because we will not have them.
- Never used for training. We do not use your submissions or outputs to train any AI model, and our AI providers process them under terms that do not permit training on your data.
- What the logs hold: that a run happened — member, tool, time, and processing volume. Not the content.
- What the Tools won't take: family tree (GEDCOM) files, DNA data, and information about living people. The Tools are designed for research on deceased individuals.
- Download your outputs. Because deletion is real, keeping your results is yours to do.
Our Use of AI to Process Meeting Content
When we host live meetings, cohort calls, webinars, or workshops, we may record sessions for member access, generate transcripts, and process transcripts through AI tools to create summaries and educational resources. By participating in a session, you consent to recording and AI-assisted processing of session content for educational, member-resource, and operational purposes. Summaries may be shared with members who attended. We do not sell session content, transcripts, or summaries. Personal information shared during sessions (names, family details, research stories) is treated as confidential and not used outside the educational context of Chronicle Makers.
What We DON'T Do
We do not: sell, rent, or share your information for marketing purposes · keep copies of the documents you submit to the Research Tools · use your data to train AI models · accept sponsorships that compromise your privacy · use affiliate links (except Skool's built-in member program) · track you across the web · share your information with data brokers · use your data for anything other than providing and improving the Service.
Service Providers
We deliver the Service using a small number of providers who process data on our instructions, in these categories: community platform and payments · email delivery (transactional and newsletter) · AI model and infrastructure providers (Chronicle Makers Tools processing and content operations) · hosting and networking · video meetings and webinars · forms and surveys · scheduling and registration · analytics · workflow automation (membership synchronization).
The current provider in every category is listed, with a link to its privacy policy, at chroniclemakers.com/subprocessors. That page is updated when a provider changes, so it is always current. Providers receive only what their role requires — for example, our transactional email provider receives your email address to deliver your tool results; our AI providers receive the documents you submit to a tool, for the duration of processing only.
Your use of platforms you interact with directly (Skool, Substack, YouTube) is also governed by their own privacy policies.
Third-party AI tools you use yourself: we teach methods for using Claude, ChatGPT, Gemini, and other AI tools. When you use those tools in your own accounts, you are subject to their privacy policies; we don't receive or store your conversations with them.
Your Rights and Choices
Access and update: log into your account anytime. Delete your account: email us and we'll delete your data (some information may be retained for legal and accounting requirements). Stop marketing emails: unsubscribe in any email. Opt out of analytics: use browser settings or extensions.
Data Security
SSL encryption in transmission · secure credential storage · PCI-compliant payment processing through trusted providers · regular updates. No system is 100% secure; keep your password confidential and report suspicious activity.
Data Retention
We keep account information for as long as your account is active, as needed to provide the Service, as required by law, or as necessary to resolve disputes. Chronicle Makers Tools submissions and outputs are not retained at all** (see above). Meeting recordings and transcripts are retained for member access for the duration of your active membership in the relevant program plus a reasonable archive period; AI-generated summaries may be retained as part of the educational library. On account deletion we securely delete most information; transaction records may be retained as required by law; participation in past group recordings cannot be selectively removed, but we remove individual data wherever selective deletion is possible.
Children's Privacy
Chronicle Makers is not intended for children under 13, and we don't knowingly collect their information. Contact us immediately if you believe we have.
International Users
Chronicle Makers is based in the United States; information is transferred to and processed in the United States.
Changes to This Policy
Updates are posted on chroniclemakers.com with a new Last Updated date; material changes are emailed. Continued use means acceptance. Provider changes are reflected on the subprocessors page and do not require a policy update.
